Acceptance of Terms and Conditions
- These terms and conditions apply to all contracts entered into between Green Planet Forest School Ltd (“GPFS”) and its customers.
- At the time you make a Booking, you will be deemed to have accepted and agreed to these Terms and conditions. They will commence on the date of your Booking.
Booking
- All Bookings must be made using the Booking Form on the Website unless otherwise agreed between the Parties.
- When you purchase a Forest School session, GPFS will occasionally contact customers with onboarding instructions and details about the service you have signed up to. GPFS may also send you future correspondence to let you know about future sessions and/or any changes. All data is handled in accordance with the GPFS privacy policy.
- Following receipt of your Booking, GPFS will send you a Booking Confirmation Email. Please ensure that your email address is supplied correctly at the time of your Booking otherwise GPFS will be unable to send the Booking Confirmation Email and your child(ren)s place on your chosen session may not be guaranteed.
- Upon receipt of the Booking Confirmation Email, you must check carefully to ensure the information contained within it (such as the dates and location booked, and your child(ren)s details are correct). If any information contained within the Booking Confirmation Email is incorrect you must inform GPFS within 48hours of receipt of your Booking Confirmation Email, or straightaway if your booked date is in less than 1 days time. GPFS will use all reasonable endeavours to make any changes required.
- If you do not advise us within 48hours of receipt of the Booking Confirmation Email of any inaccuracies, GPFS shall assume that the information contained within the Booking Confirmation Email is correct.
- If you have not received your Booking Confirmation Email from GPFS within 24 hours of making your Booking please contact us.
- Bookings for Home Education Adult Accompanied sessions: A Parent/Carer (over the age of 18) of the booked child(ren) must be present for the duration of the session. They will be responsible for the child(ren) at all times.
Payments
- The amount to be paid by you will be detailed at the time of Booking.
- Payment is due in full before the commencement of your Booking.
- GPFS accept payment via credit card, debit card and where applicable childcare vouchers and tax credits.
- All fees for any Booking not utilising childcare vouchers must be made when you make your Booking.
- For any Bookings utilising childcare vouchers or tax credits as payment, we require funds from your childcare voucher provider within the same day of your Booking (unless agreed between both parties prior to your Booking.)
- If you are Booking onto a HAF club with a HAF code, you are confirming that the child is eligible under the HAF scheme. Local authorities will confirm that your child’s HAF code is valid and if the criteria is not met, you are liable for the full payment of the Holiday Club Booking.
- If GPFS agrees a payment plan with you, you must adhere to the terms of that plan. If you do not then GPFS reserves the right to cancel your Booking immediately.
Changes to a Booking by You
- Changes to your Booking can be made up to the day that your Booking commences. No changes can be made on the day of your Booking.
- Any requested changes are subject to availability and GPFS’s acceptance.
- If you wish to make any changes to your Booking, you must do so by email to info@green-planet.co.uk. Please note that sending an email does not mean that your Booking has been changed, any changes will only be accepted and made once confirmed by GPFS by email. Please note changes requested by leaving a voicemail, sending a text, or sending a message via any other messaging system will not be actioned.
- If the change results in a Booking of a higher value than the original Booking, the amount now due must be paid within 24 hours of the change being confirmed by GPFS. If the change results in a Booking of a lesser value than the original Booking, a credit for the difference, will be added to your account towards a future GPFS session, which remains valid for six months from the date of issue.
- If the amendment occurs on the day, after the session has started, or at any point during the booked day, no credit or transfer will be issued.
Cancellations and Refunds
- It is not GPFS’s policy to issue refunds for cancellations for any Bookings.
- Sessions cancelled up to the day that your Booking commences can be transferred to a different day or a credit note can be issued, which is valid for a period of six months from the date of issue.
- If you wish to cancel a Booking, you must do so by email to info@green-planet.co.uk. Please note that sending an email does not mean that your Booking has been cancelled, any cancellations will only be accepted and made once confirmed by GPFS by email. Please note cancellations requested by leaving a voicemail, sending a text, or sending a message via any other messaging system will not be actioned.
- If the cancellation occurs on the day, after the session has started, or at any point during the booked day, no credit or transfer will be issued.
- Holiday Club & Home Education Cancellations (including child sickness): We require at least 24 hours notice of cancellation before the day your child is due to attend to issue a 100% credit note. If you cancel your sessions without giving us at least 24 hours’ notice before the day your child is due to attend, you will not receive any credit.
- After School Club Cancellations (child sickness): We require at least 24 hours notice of cancellation before the day your child is due to attend to issue a 100% credit note. A credit note will be issued for any subsequent sessions which are missed due to child sickness/injury. If you cancel your sessions without giving us at least 24 hours’ notice before the day your child is due to attend, you will not receive any credit.
- After School Club Cancellations: If you wish to cancel all or any part of an After School Club booking for any reason other than sickness, we require at least 24 hours notice of cancellation before the day your child is due to attend to issue a credit note. A credit note will only be issued for any remaining sessions. If you cancel your sessions without giving us at least 24 hours’ notice before the day your child is due to attend, you will not receive any credit.
Changes to a Booking by GPFS
- GPFS reserves the right to modify any Booking to adverse weather conditions, low attendance, the venue becoming unavailable, or any other unforeseen circumstances, either before or on the day.
- GPFS reserves the right to cancel any Booking due to adverse weather conditions, low attendance, the venue becoming unavailable, or any other unforeseen circumstances, either before or on the day.
- Any such changes or cancellations made by GPFS will not automatically give rise to any entitlement to a refund. You will either be transferred to another session (subject to availability) or a credit will be added to your account towards a future GPFS session, which remains valid for six months from the date of issue.
- GPFS reserves the right to cancel any Booking part way through a session, or any future Booking, in the event of unacceptable behaviour of an Attendee in accordance with the GPFS Behaviour Policy (available upon request).
Offers (Vouchers and Codes)
- If GPFS awards you a percentage discount voucher/code this cannot be used more than once and is non-transferable and cannot be used past the stipulated expiry date. Unless this is agreed between both parties prior to your Booking).
- ‘Sibling’ discounts are only valid for Home Education sessions.
- ‘Sibling’ discounts are only valid for Bookings of two or more siblings attending the same session.
- The use of a percentage discount voucher/code is subject to approval by GPFS.
- You may only use one discount voucher/code with any transaction with GPFS.
- GPFS reserves the right to reject a discount voucher/code if it reasonably believes that it has been falsely or incorrectly used.
- Discount vouchers/codes cannot be used in conjunction with any other voucher or promotional code.
- GPFS reserves the right to amend and/or withdraw any or all of the Offers at any time.
Free Days/Promotional Codes
- If GPFS awards you a golden ticket for our After School clubs, this can only be used for 1 child at 1 individual session as part payment towards a block of sessions for the term.
- If GPFS awards you a golden ticket for our Holiday Clubs, this can only be used for 1 child at 1 individual day, and only for a 9am-3pm session.
- If GPFS awards you a golden ticket for our Home Education groups, this can only be used for 1 child at 1 individual session. The free place/child will not be counted towards a Sibling Booking and therefore a Sibling discount will not be valid unless being used to book two or more additional siblings attending the same session as the free place.
- Any free days awarded cannot be used more than once and are non-transferable.
- A Booking made using a promotional code can only be used for the day stipulated and only one promotional code can be used per child.
